Overview

When the American Geophysical Union (AGU) brought the Ocean Sciences Meeting (OSM) to the Scottish Event Campus (SEC) in Glasgow in February 2026, it marked the first time the event had been held outside the United States. Welcoming more than 6,000 delegates from across the global scientific community, the conference demanded a venue capable of delivering a world-class delegate experience at significant scale.

One of the event's most ambitious challenges centred on Hall 3. Rather than using the space as a traditional exhibition hall, AGU wanted to create a vibrant, multi-functional environment where delegates could attend presentations, network, collaborate and move freely between activities throughout the day.

Working collaboratively with the organisers from the earliest planning stages, the SEC's integrated Technical & Production team developed an innovative solution that transformed Hall 3 into one of the defining features of the event.

The Brief

AGU required a flexible environment capable of supporting multiple concurrent content streams alongside networking and exhibition activity, while maintaining an open and welcoming atmosphere.

The solution needed to:

  • Accommodate additional session rooms within the clients existing venue footprint to maximise on space.
  • Deliver simultaneous spaces without constructing traditional enclosed theatres.
  • Encourage collaboration, networking and spontaneous interaction.
  • Allow delegates to move easily between sessions.
  • Maximise the available footprint within Hall 3.
  • Deliver a budget-friendly, efficient, sustainable solution that could adapt throughout the conference.

Above all, the space needed to enhance the delegate experience while remaining practical to install, manage and operate.

Creating Flexibility Without Compromise

Working closely with AGU, the SEC’s in-house technical and production team designed a flexible, open-plan conference environment centred around eight silent presentation theatres.

Using wireless headphone technology, delegates could attend presentations across multiple stages simultaneously without audio interference, allowing Hall 3 to remain open, accessible and highly adaptable throughout the conference.

By replacing traditional enclosed theatres with silent presentation spaces, the team created a single environment that seamlessly combined educational sessions, networking, poster presentations and exhibition activity within one cohesive delegate hub. The innovative approach maximised the available floor space while reducing the need for extensive temporary structures, enabling the event to deliver more content without compromising the delegate experience.

"The flexibility of the space was a real advantage. Being able to run multiple sessions simultaneously without physical builds allowed us to maximise both the programme and the delegate experience."
Vicki Hawarden, VP of Meetings and Events, American Geophysical Union

The approach delivered several key benefits:

  • Eight presentation theatres operating simultaneously within a single hall.
  • Greater flexibility without the need for extensive temporary structures or physical partitions.
  • Increased usable event space for networking and collaboration.
  • Improved delegate flow, encouraging exploration across the hall.
  • Reduced build requirements, supporting a more efficient and sustainable delivery.
  • A solution that could evolve throughout the event as operational requirements changed.

The project also demonstrated the value of the SEC's integrated delivery model, with Conference Sales, Event Management and Technical & Production teams working together to develop a solution tailored to the client's objectives.

The Impact

Hall 3 became one of the defining environments within Ocean Sciences Meeting 2026, providing delegates with a dynamic space that combined learning, collaboration and networking in a way that felt both intuitive and engaging.

The flexible layout encouraged delegates to personalise their experience, moving easily between presentations while remaining connected to the wider event. At the same time, the silent theatre concept enabled AGU to deliver multiple high-quality content streams without sacrificing the openness and energy of the space.

For the organisers, the solution maximised the potential of Hall 3 while reducing the need for complex temporary builds, creating a more efficient use of the venue while providing the flexibility to adapt throughout the event.

More broadly, the project demonstrated how creative thinking, technical expertise and close collaboration can unlock new possibilities for large-scale conferences. By combining innovative

production with an integrated venue team, the SEC delivered a solution that not only met the client's brief but created an engaging, future-focused conference environment that can be adapted for events of every scale.
